Texas ILL - Frequently Asked Questions

How are ILL requests placed?

Staff and patrons must go to the Texas Group Catalog site.  Each library has a unique URL like this:
https://texas.agshareit.com/home?cid=TEXAS&lid=TXBPL01.   Staff can login with their SHAREit login. Patrons use their normal Apollo login.

Is there an Apollo information sheet on this?

Yes!  The Texas ILL document in Apollo has been updated for SHAREit.  Go to Settings | Texas ILL Setup.

How do I disable Navigator after I cut over to SHAREit?

You don’t have to do anything!  When SHAREit is enabled for your library, Apollo will automatically direct all new ILL requests to ShareIt.

After we go live with SHAREit, what happens to items we loaned out through Navigator that are still out?

Navigator will remain available only for tracking/receiving items you loaned through Navigator.  When you have them all back, just stop using Navigator altogether.

For Navigator, I made some ILL-related selections in Apollo (Material Types to not loan, delay loaning new items for X period, etc.) Will that carry over to SHAREit?

Yes!  There is nothing for you to do.  note that you can review them in two places:  Settings | Texas ILL Setup and Settings | Material Types.  (NCIP is required)

Do I still need to check-in those last Navigator returning items into Apollo?

Yes.  There’s no change to the process of ILL items being returned to you.

Do I need to opt in to NCIP even if I don't want patrons to be able to place their own ILL requests?

Yes!  That’s what allows Apollo to know who to contact when you check-in an incoming ILL.

How do we renew an ILL?

You would request a renewal in SHAREit which is passed on to Apollo.  Apollo looks at the ILL lending rules.  If it is allowed, the renewal is performed.

How do I upload my MARC?

You don’t!  No action is required by the library for MARC sync-ing.  It’s already happening and is updated by Biblionix everyday.

I don't want patrons to be able to place SHAREit ILLs. How do I do that?

You can enable/disable patron-initiated requests in SHAREit.  NOTE: you do still need NCIP to allow Apollo to work its magic.

What is the Apollo procedure for receiving a SHAREit ILL?

On the Apollo side, it’s unchanged!   The SHAREit procedure is very close to the Navigator procedure.  See the Texas ILL document in Apollo in Settings | Texas ILL Setup.   (you’ll need to have opted-in for NCIP)

How do we over-ride and allow a “new item” to go ahead and be shipped out?

Just like with Navigator, Apollo observes your lending rules and responds to SHAREit with whether or not you are willing to lend any particular item.  So currently this override does not exist.

If a patron is barred, can we override or do we need to unbar them and redo request?

A blocked patron won’t be able to place a request.

Will temp records be deleted?

Yes, temporary records will be deleted automatically.

Will I need to create or use patron account for each library I send items too?

Nope.   Items will be checked out to a pseudo-patron account. But we’ll always know what library has it!  (NCIP required)

What do we do when receiving a SHAREit item for one of our patrons? Where/how do we check it in?

On the Apollo side, it’s unchanged!   The SHAREit procedure is very close to the Navigator procedure.  See the Texas ILL document in Apollo in Settings | Texas ILL Setup.  Sadly, no way is provided for an Apollo checkin to be reported to SHAREit.   (NCIP is required)
